In providing our services, we process personal data.
Hofparken believes it is important to handle this information with care. In this Privacy Policy, we will explain what personal data we collect, how we do so, and how long we retain it, with whom we share it, and what your rights are.

  1. Processing

Processing of your personal data by Hofparken is done with due care and in accordance with applicable privacy laws.

We will only retain and use the personal data provided directly by you, such as when entering into an agreement with Hofparken, entering your details on our website, or applying for a job. We may also obtain your personal information from public sources.

  1. Purposes and foundations

Accommodation rental

You can rent accommodation at one of our parks.

For this purpose, we process the following personal data:

  • Name and address details
  • phone number
  • email address
  • payment information
  • billing information
  • possible contents of correspondence

We use this data to execute the agreement we enter into with you and to maintain the resulting relations. In addition, in our parks we are required to record the following in the night register: your name, place of residence, date of arrival, and date of departure. As such, the night register provides insight into who is on the grounds of our parks. The requirement for keeping a night register is found in the Dutch Penal Code. Moreover, the General Municipal By-Laws of the municipality often requires a night register. We will retain this data for the duration of the agreement. Some data is retained for a longer period if we are required to do so, as in the case of the night register.

Newsletter

Our website allows you to subscribe to our newsletter. In this newsletter we will inform you by email about any information, news, and developments regarding Hofparken and we will keep you updated on Hofparken products, services, and offers.

For this purpose, we process the following personal data:

  • full name
  • email address

We use this data based on your consent. You can unsubscribe from the newsletter at any time. Each newsletter contains an unsubscribe link. The moment you unsubscribe, we will keep your data on our blocked list, so you will not receive any emails from Hofparken thereafter.

Contact

We offer several ways to contact us. This can be done by phone, as well as by email, or through the contact form on our website.

For this purpose, we process the following personal data:

  • full name
  • email address
  • phone number
  • any information you enter yourself as the content of a message

We use this data to handle your request to contact you and to execute the agreement with you to do so. We will retain this information until we believe you are satisfied with our response.

Suppliers

Hofparken purchases goods and services.

For this purpose, we process the following personal data:

  • name of contact
  • (business) phone number
  • (business) email address
  • name of organization (optional)
  • payment information
  • billing information
  • any correspondence content

We use this data to execute the agreement we enter into with our suppliers and to maintain the resulting relations. We will retain this data for the duration of the agreement. Some data is retained for a longer period if we are required to do so (for example, because of the seven-year tax retention period).

Applications

Are you responding to one of our job openings or sending an open application? If so, we will process your personal data in order to process your application.

For this purpose, we process the following personal data:

  • Name and address details
  • email address
  • phone number
  • Curriculum vitae
  • cover letter
  • salary range
  • references
  • any other information you include with your application

We use this data in order to prepare for the possibility of entering into an employment contract. Should you not be employed by Hofparken upon completion of the application process, we will retain your application information for no more than six weeks after having completed the process. This allows us to still approach you if, upon further consideration, the previous candidate proves unsuitable. If we are unable to offer you a position at this time, we may – with your consent – retain your application data for up to one year after the application process is completed. You can withdraw your consent at any time by sending us an email. If you join us, we will keep your application information in our personnel file.

Part of the procedure is a social media and Internet screening. We may use any information found during the application process for further review. Conducting the screening is necessary to ensure that our image is maintained when hiring new staff. As such, we do so based on our legitimate interest. For this, we search your name on Google and any profile on various social media platforms. This, of course, to the extent that these profiles are public; we will not ask you to grant us access to a private social media page or to establish a connection with us. Of course, these findings will always be discussed with you. We do not reject people solely on the results of a screening. Should you object to the screening, please indicate this by email at the time of application.

If we require assistance from external HR consultants regarding your application, we may choose to forward your data to them.

  1. Confidentiality and disclosure to third parties

Hofparken only shares your data with third parties when permitted by current legislation. We may provide your personal data to third parties because:

  • we have employed them to process certain data;
  • it is necessary to perform our agreement with you;
  • you have given your permission to do so;
  • we have a legitimate interest in doing so;
  • we are required to do so by law, for example in relation to tourist tax returns, or if the police request it in case of suspicion of a crime.

The parties that process personal data on our or your behalf are:

  • Our parks
  • Cookie vendors (see our Cookie Policy).
  • IT suppliers and service providers
  • Payment service providers (and collection agency)
  • Event organizations and venues
  1. Transfer of Personal Data

In order to provide our services, Hofparken may provide your personal data to parties based outside the European Economic Area (EEA). Hofparken only does so if there is an adequate level of data protection for the processing of personal data. This means, for example, that we use a model agreement from the European Commission or enter into agreements on how the company handles personal data.

  1. Security

Hofparken takes appropriate technical and organizational measures to secure personal data against loss and against any form of unlawful processing.

  1. Rights

You have the following rights:

  • right of access (you have the right to see the personal data we process about you);
  • right of rectification (you have the right to correct or supplement the personal data we process about you if it is inaccurate or incomplete);
  • right to withdraw your consent (you can easily withdraw your consent at any time);
  • right to object (you can object to the processing of your personal data);
  • right to erasure (you can ask us to delete your personal data);
  • right to data portability (if technically possible, you have the right to have the personal data we process about you transferred to a third party);
  • right to restrict processing (in some cases, you may request that we restrict the processing of your personal data, whether temporarily or not, which means that we process a smaller amount of your data).

If you wish to exercise any of these rights, we may ask you to identify yourself. Hofparken will usually comply with your request within a period of one month.

  1. Complaint

Of course, we are happy to help you if you have any complaints about the processing of your personal data. If, despite this, you are unable to come to an agreement with us, you also have the right under privacy legislation to submit a complaint to the privacy regulator, the Dutch Data Protection Authority.
